Welcome to Breakout Rooms Dashboard! Our app is designed with security at its core. Trust, privacy, and security are our top priorities. We operate within the user's browser environment, respecting privacy and security protocols.
This means all your information is always private. We do not share your video, audio, transcript and chat data outside of your computer by default.
When using AI, it only starts analyzing your data when you explicitly ask to do so.
This Privacy Policy explains what information is gathered, how information is used and protected when you use the Breakout Rooms Dashboard ("the App"). By using the App, you consent to the practices described in this Privacy Policy.
Information We Collect
When you use the App, we may collect:
- Account Information: Name, email address, organization details, and other details you provide when creating an account.
- Feedback and Support Requests: Information shared when you contact us for help or provide feedback.
Automatically Collected Information
We may collect information automatically, such as:
- Usage Data: How you interact with the App, such as activity logs, features usge and session duration.
- Location Data: Approximate location derived from your IP address (if enabled).
Third-Party Integrations

- AI Engine: Our AI summary and AI-based alerts leverage Amazon Bedrock For Amazon Bedrock Security and Privacy details, see https://aws.amazon.com/bedrock/security-compliance/

- Usage Statistics: We use Google Analytics to collect anonymous information about the use of the App to support operation, maintenance, and improvement of our Services. For additional details about Google's practices see https://www.google.com/policies/privacy/partners/.

How We Use Your Information
- Meeting Transcript: We use the meeting transcript to calculate room activity and inclusion scores, without this information leaving your device.
- AI Analysis: When you choose to use AI-generated summaries or AI-based alerts, the app processes is based on the meeting transcript locally. These are optional opt-in scenarios, to suppoert users that may not want to be analyzed by AI.
- Video, audio, chat, and other meeting data: We do not store or share video, audio, chat, or any biometric data of your meetings outside of your device. All meeting data remains local unless explicitly shared for AI processing.
- Improving the App's features: By leveraging usage statistics with Google Analytics.
Permissions Required
To provide our services, the App may request the following permissions:
- Camera and Microphone Access: Required locally, for the App to use during the meeting.
- Captions and Transcript Access: Required for the App to analyze room behavior and leverage AI summaries and alerts.
How We Share Your Information
We do not sell your information. We may share it only in the following circumstances:
- Data Encryption: All data we share is encrypted in transit using TLS/HTTPS. Locally stored data remains protected within the app environment.
- Service Providers: With trusted partners who help operate or improve the App (e.g., Amazon as our cloud storage provider and authentication service provider).
- Legal Requirements: If required by law or to protect the rights, safety, or property of our users or others.
- Business Transfers: In the event of a merger, acquisition, or sale of assets.
Data Retention and Security
We retain your information only as long as necessary to provide our services or as required by law. Upon account deletion, all data is permanently deleted within 30 days, unless legal obligations require a longer retention period.
We use industry-standard practices to protect your data from unauthorized access, alteration, or disclosure.
Managing Your Information
You have the following rights:
- Access and Update: View and edit your account information via the App settings.
- Permission Control: Enable or disable App permissions in your device settings.
- Account Deletion: Request the deletion of your account and associated data by contacting us at support@togeder.co. We delete user data within 30 days of a deletion request.
Cookies and Tracking Technologies
The App may use cookies to enhance user experience and improve functionality. We do not share or sell cookie data to third parties.
Children's Privacy
The App is not intended for children under the age of 13, and we do not knowingly collect personal information from them. If you believe a child's information has been collected, please contact us to have it removed.

We may update this Privacy Policy from time to time. Changes will be notified by updating the "Last Updated" date above. Continued use of the App after changes signifies your acceptance.
